Details: SUMMARYThe payroll coordinator is a member of the accounting department reporting directly to the Financial Analyst Manager.  Primary responsibility of this position is to transmit accurate payroll information to ADP on a semi-monthly basis and maintain accurate payroll records. RESPONSIBILITIES· Export overtime from time and attendance program and import to payroll program; verify with employee forms submitted.· Input W-4, direct deposit, parking deduction, 401k, garnishment, personal account deductions, & other insurance changes.· Calculate and input long-term disability deductions· Export HR and benefit changes from the HRB program and import to payroll program; verify with employee paperwork.· Set up employees in time and attendance system.· Input days-without-pay into payroll, as advised by HR.· Input other miscellaneous payments requested into payroll.· Input parking reimbursements- verifying the balances do not exceed the monthly maximum allowance.· Download GL file and send to Accounting.· Download retirement (401k) contribution file and upload to Wells Fargo.· Request/Receive/Mail AP check requests for garnishment deductions.· Verify payroll totals with payroll register before/after payroll is transmitted.· Generate various payroll reports for Accounting.· Generate QTD overtime report for department managers.· Enter Third Party (STD) payments to employees’ records at Year End.· Receive/Answer emails/phone calls regarding payroll questions/requests.· Contact Payroll vendor for any issues with payroll programs.· DOL/Multiple Worksite reporting of Wages· Request check requests for dependent care deductions. Maintain spreadsheet.· Maintain spreadsheet for Data Service Reimbursement requests. Add reimbursements to payroll each quarter. Coordinate/Maintain parking for all employees· Maintain correspondence with parking vendors.· Make requests to activate/deactivate employees’ parking cards/transponders/hangtags with parking vendors, at employees’ requests.· Maintain employees’ parking changes on an Excel spreadsheet; verify with employee requests via email and parking forms.· Receive and reconcile parking invoices with parking change requests; verify GL numbers are accurate.· Coordinate with parking vendor and discrepancies with parking invoices· Request/Receive/Mail AP checks for parking invoices.· Receive/distribute to HR parking hangtags for open lots; verify against parking invoice.  Miscellaneous· Retrieve/distribute mail/FedEx for Accounting Department· List cash receipts received in the mail for Accounting.· Generate various reports for research purposes.·  Maintain/forward changes monthly for the travel company.·  Update wage/benefit information monthly for the Redwood software.·  Participate in ongoing projects- HRB, new software implementations, new retirement processes, etc.·  Complete various internal payroll audits for parking, insurance deductions, etc.·  Complete various payroll/HR surveys·  Assist Accounting department when possible- Elite Reports, Cost entries, etc…
